Start With a Quick Fault Check
Before sending anything back, please contact our team at our contact form and tell us what the machine or material is doing. Many issues can be sorted with a blade check, software connection help, or a simple heat press check, so it is worth confirming the fault first. If you are in Kya Sand, Randburg, Sandton, Midrand, Roodepoort or Pretoria East, you can also ask for local support advice and save yourself an unnecessary trip.
When you write to us, include the order number, the date of purchase, and clear photos or a short video if possible. A video often shows the problem better than a long message, especially if the cutter is missing a line, not tracking properly, or cutting too deep. Please leave the item in the same condition it arrived in, with all parts and packing where possible.
What Counts as a Returnable Fault
We assess returns for genuine faults, transit damage, or items supplied incorrectly. A return can usually be considered if the machine arrived damaged, the blade holder is faulty, the cutter will not power on under normal use, or a supplied accessory is missing. For HTV and other consumables, we check the product condition and the batch details before confirming the next step.
- Electrical fault on arrival
- Damage during delivery
- Incorrect item supplied
- Missing parts or accessories
- Confirmed performance fault after setup checks
Normal wear, user setup errors, unsuitable software settings, or damage caused after delivery may not qualify, but we still look at each case properly. If you are not sure, send the details first and our technical team will advise. That saves time for everyone and it avoids sending back something that can be fixed with calibration or a workflow change.
How to Lodge a Return Request
Once we have reviewed your message, we will tell you whether to return the item, arrange a remote support session, or test the machine further. If a return is approved, we will send the return instructions and the correct delivery details. Please do not send stock back without approval, because unannounced parcels can be delayed or refused.
- Send a message through our contact form with the fault details
- Attach photos, video, and your proof of purchase
- Wait for written return approval
- Pack the item securely with all accessories
- Use a trackable courier or hand delivery where arranged
If you are near our Kya Sand base, collection or drop off may be possible by prior arrangement. For customers further afield, courier collection is often the quickest route. Please note that weather, load-shedding related delays, and peak courier periods can affect turnaround times a bit.
Packing the Item for Safe Transit
Good packing matters. Vinyl cutters and related equipment have moving parts, so they must be boxed carefully to prevent extra damage on the way back to us. Use the original carton if you still have it, or a strong replacement box with enough padding around the machine. Remove loose media, blades, mats, and any items that can shift inside the box.
Write your name, order number, and contact details inside the parcel as well as on the outside. If the unit was supplied with a power cable or adapter, include it unless we have told you otherwise. Moisture and coastal humidity can affect packaging during transit, so seal the box properly if your parcel is moving through Durban, Gqeberha or other humid routes.
- Use thick bubble wrap or foam where needed
- Protect the cutting head and blade area
- Do not let parts move freely in the box
- Keep all accessories together in a labelled bag
What Happens After We Receive It
When the parcel arrives, we inspect the item and confirm the fault against the information you sent. Our technical support lead and workshop technician may test the unit, check blade calibration, review software connection issues, or inspect power and control functions. If the issue is confirmed, we will explain the available remedy, which may include repair, replacement parts help, or another agreed solution.
Some items may need a routine machine cleaning or a workflow review before a fault is accepted, because dirt, adhesive build-up, or incorrect settings can cause poor cut quality. If the item is not faulty and is working within normal limits, we will let you know what we found and what options are available. We try to keep the process straight forward, but we do need the unit in hand to make a proper call.
Refunds, Replacements, and Timing
If a refund or replacement is approved, we will advise you on the next step in writing. Timing depends on the fault, the stock position, and courier movement between your area and our Johannesburg base. In some cases a replacement part is faster than a full exchange, especially for accessories or simple wear items. For a machine issue, we may first try to fix the problem through support before moving to a return outcome.
- Approved fault confirmed by inspection
- Replacement stock or parts available
- Courier turnaround completed
- Final authorisation issued by our team
Please keep your proof of purchase and all return messages until the matter is closed. That makes follow-up easier if there is a shipping delay or if we need to reconfirm details later on.
Get Help Before You Send Anything Back
Many return questions are solved faster through support than through a courier trip. We assist with new machine setup, software connection help, cut quality troubleshooting, heat press checks, and workflow help for hobby users and small businesses. If you are in Pretoria East, Sandton, Midrand, Randburg, Roodepoort or nearby, you can often save time by sending us the fault details first.
Our goal is to make the process fair and practical. If the item is faulty, we will help you through the next step. If it can be put right with a quick check, we will tell you that honestly so you can get back to work without waiting for a return cycle.
